Codam's Rules & Regulations

Introduction

This agreement outlines the conditions for studying at Codam.

By enrolling, you (hereinafter “the Student”) agree to follow the rules outlined in this document.


The Student confirms that they have read and understood the rules and the charter.


Failure to comply may result in exclusion from the program.

ARTICLE 1 – OBJECT AND MISSIONS OF CODAM

Codam is a software engineering school offering a full-time program to train students as software engineers. With a self-directed, peer-to-peer learning model focused on C and C++ programming, Codam provides high-quality education that is accessible to all, without tuition fees.

The program emphasizes both technical and interpersonal skills, preparing graduates for successful careers in the tech industry.

Students are expected to follow a set of rules and contribute to Codam’s mission of fostering collaboration, inclusivity, and professional growth.

Codam will conduct annual student satisfaction surveys to measure, advance and implement policy with input from students.

ARTICLE 2 – ACCESS TO PREMISES

Codam is accessible to students 24/7. When security is absent, students can enter through the revolving doors at the back using their personal card and pin code. The premises are monitored by video security and security surveillance overnight.

Each student is issued a personal card with their name and photo, which must be carried at all times and presented upon request. If the card is lost, a replacement can be obtained from the Facility Manager for €10.


Access is strictly limited to registered students. External visitors require prior permission from staff.

Prohibited in the building: weapons, drugs or alcohol (including intoxication), smoking, and sleeping.


Student may use outdoor designated smoking areas.

ARTICLE 3 – FIRE AND SAFETY INSTRUCTIONS

Fire safety instructions, including a map of fire extinguishers and emergency exits, are posted throughout Codam. Fire drills will occur periodically to ensure proper evacuation procedures.


Any accidents or incidents must be immediately reported to the Security Guard and the Facility Manager. A first aid kit is available at the guard’s desk for emergencies.

ARTICLE 4 – CODE OF CONDUCT

At Codam, we expect students to embody Codam’s Mindset:

  • Be respectful: Treat everyone with respect. Codam welcomes all.
  • Be open: Our community is diverse, inclusive, and welcoming.
  • Be friendly: Meet new people and build friendships.
  • Be considerate: Respect boundaries, differences, and feelings.
  • Be a team player: Support each other—this is not a competition.

The Student commits to respecting the rules of good citizenship, maintaining respect for people and places, and contributing to the smooth running of the institution. If students notice a violation, kindly address it. If uncomfortable, inform a staff member.


The Staff may intervene and impose consequences, ranging from community service to temporary suspension or exclusion, depending on the severity of the violation.


Security can support with accidents and injuries. They are also here to keep students safe: students must follow their instructions.

ARTICLE 5 – USE AND MAINTENANCE OF EQUIPMENT

Students are responsible for maintaining the equipment provided for educational purposes in good condition. Equipment must be used only for its intended purpose and may not be removed from Codam’s premises.


Any theft from Codam will result in legal and civil action. Voluntary damage to equipment will lead to disciplinary action, and repair costs will be charged to the responsible party.


Codam is not responsible for loss, theft, or damage to personal belongings—students are advised not to bring valuable personal items to the premises.

ARTICLE 6 – INFORMATION AND COMMUNICATION

All communication, both online and offline (e.g., email, Slack), must reflect Codam’s Mindset—be respectful, friendly, and considerate. Codam is neutral in terms of religion and politics, ensuring everyone feels welcome.

When using Codam’s communication channels, students must:

 

  • Use their personal login identifier.
  • Ensure content complies with Dutch law.
  • Be mindful of tone; avoid sarcasm or irony to prevent misunderstandings.


Prohibited:

  • Commercial, political, or religious promotion.
  • Defamatory, slanderous, or misleading communication.


Staff can remove content, publications or posters, and halt publications, without affecting any legal actions that may be taken.

ARTICLE 7 – MAIL

Students can communicate with each other and staff through email or Slack using their personal login identifiers.

When using these platforms, students must adhere to Codam’s guidelines for respectful and professional communication, as outlined in the Code of Conduct.

ARTICLE 8 – INTELLECTUAL PROPERTY AND COPYRIGHT

Codam reserves the right to promote student projects created during their studies to showcase the community’s achievements. However, all source code and related work developed by students remain their exclusive property. Codam does not claim ownership over student work or any companies founded during their studies, nor is it liable for them.

It is prohibited to share confidential or sensitive information from Codam or 42 without prior approval. This includes the Codam or 42 logo, documents, educational content, and data related to students, staff, or partners.


Disseminating confidential information can harm Codam’s, 42 or its partners’ interests and is considered serious misconduct. This includes breaches of data privacy or processes involving students, staff, and partners. Fraudulent software use, hacking, or computer piracy will be subject to criminal penalties.

ARTICLE 9 – PROFESSIONAL EXPERIENCE

During the studies, students must complete a professional experience to graduate. Codam offers two paths:

  • Employment: Students can work as an intern or full-time employee under an Internship, Fixed-Term, or Open-Ended contract. The project must last 4-6 months, focus on programming, and meet certain remuneration requirements.

  • Startup Internship: Students can establish their own tech startup with a 6-month full-time project, meeting specific criteria, including previous experience, team size, and an approved innovative business idea.

Throughout the professional experience, students must maintain communication with Codam and adhere to the rules of the company they intern or work at.


The student can come back to the Codam during their professional experience, to follow courses specifically demanded by the program or participate in meetings.


The student embodies the image of Codam and commits to respect for the duration of the professional experience the rules of the company they intern or work at, and to behave in exemplary fashion.

ARTICLE 10 – LEGAL RESIDENCY

Each student must be legally permitted to reside in the Netherlands for at least 365 consecutive days.


For students requiring a residence permit, valid documentation must be provided to the administration.


This ensures compliance with local regulations and allows participation in Codam’s full-time program, including a professional experience.

ARTICLE 11 – VIDEO SURVEILLANCE

Codam premises is monitored by CCTV. According to the law, recordings are automatically deleted after four weeks unless a security incident occurs. In such cases, the footage may be retained for investigation purposes.

Students have the right to request access to or removal of personal data in accordance with applicable regulations.

The recorded images of this system will never be used for surveillance of staff or students, or for monitoring working times.

The legal basis in this case is the legitimate interest of Stichting Codam (article 6.1.f of the European regulation on data protection).

  • Data Controller: Stichting Codam is the controller of the processing of images coming from the video surveillance system. Having its registered office at Kattenburgerstraat 7, 1018 JA Amsterdam.
  • Data and categories of persons concerned: The employees and Students of Codam are filmed by the system. Casual visitors of Codam can also be recorded.
  • Recipients: The images can be screened, in case of incident, by the designated staff of Stichting Codam, that is, the Facilty Manager, IT Manager and General Management.
  • Individual rights: Students can access the data that concerns the student or ask for their erasure. Students also have the right to object and to restrict processing of their personal data.

ARTICLE 13 – PERSONAL DATA

Codam processes personal data to manage student registration, monitor educational progress, and for other relevant purposes. This helps us manage registrations and supervise the educational paths of students. Other purposes are possible depending on the processing. To know all theses purposes, please consult our list of personal data processing that can be found in the introduction to our Privacy Policy, available on our sites in our privacy statement.


The controller of personal data processing is both Codam and Association 42, depending on the data type.

The processing of students personal data always rests on a legal foundation that varies according to the processing. Often, we process personal data because we are contractually obliged to do so.


The retention period of students personal data also varies with the purpose of the processing. For example, we retain the personal data of students necessary to supervise their education for 1 year starting at the last connection of the student to the intranet.

Students have a right of access, modification, objection, erasure and portability on their personal data.
